Background:

The Little Tokyo Service Center Community Development Corporation (LTSC CDC) is a fast-paced nonprofit organization with over 150 employees. It has been making “positive change for people and places” for over 30 years, providing service to over 10,000 people each year. LTSC CDC carries out a wide range of programs including social services, childcare, economic development, property management and building affordable housing.

Summary of Duties:

We’re looking for a talented Administrative Assistant to join our Finance Department. This position reports directly to the Director of Finance and requires a well-organized individual who possesses excellent attention to detail. The Administrative Assistant will provide support to the Finance Department and contribute to the department goals by accomplishing related duties as required. Responsibilities will include:

  • Assist with check processing: distribute/mail checks to appropriate parties, make copies/scans of documentation as needed, file backups in respective A/P files
  • Maintain electronic and hard copy filing systems, and retrieve files for auditors or staff as needed
  • Create new sets of file folders each calendar and fiscal year, and coordinate the storage of older files
  • Assist with audit-specific duties: create/scan correspondence, follow-up with auditors/service providers/reporting agencies
  • Collect bank statements each month and distribute for reconciliation; log and file when returned
  • Process bank deposits; coordinate in-person credit card payments; log and create deposit forms for income checks
  • Liaise with bank representatives to facilitate the opening and closing of corporate accounts, update signature cards, and other banking services as needed
  • Maintain various tracking sheets within the department
  • Purchase checks, envelopes, and other supplies for the department
  • FedEx & Post Office runs as needed
  • Other fiscal-related duties as assigned

Qualifications and Experience:

Candidates for the Administrative Assistant position should have the following strengths and qualifications:

  • Some college, Bachelor’s degree a plus
  • Communicate effectively, both verbally and in writing
  • Organized, detail-oriented and meticulous
  • Interact well with individuals from various backgrounds
  • Take initiative and ability to work well independently or as a group
  • Problem-solve and manage multiple projects in a fast-paced environment
  • Computer skills particularly with both MAC and Windows operating systems, Word and Excel
  • Desire to work with a community-based non-profit organization in a multi-cultural environment
